This Content Retention and Destruction Policy outlines Vernon Court Reporters’ practices and timelines regarding the retention and destruction of physical and electronic client materials, including transcripts, exhibits, audio, and video recordings.
Policy Principles
- Vernon Court Reporters maintains a reasonable retention period during which the content may be retrieved or repurchased.
- Vernon Court Reporters does not offer or represent itself as a permanent repository for the record or any associated files.
- Parties to a case are responsible for purchasing and storing content that may be required for future proceedings or actions beyond Vernon Court Reporters’ retention period.
Period of Retention for Product Content
(Transcripts, Exhibits, Audio/Visual, etc.)
- Transcripts and Exhibits: Retained for up to 10 years after the date of the proceeding unless otherwise specified.
- Audio and Video Media Files: Retained for up to 30 days after the job is completed. After 30 days, all related media files are permanently deleted from our systems and any associated storage environments.
Vernon Court Reporters strongly encourages clients to purchase and securely store any media or transcript files they wish to retain beyond these timeframes.
Content Destruction Procedure
- Physical materials (including paper transcripts, exhibits, and physical media) will be securely shredded and destroyed.
- Internal computer storage devices (disk drives, SSDs, or optical media) will be removed and destroyed in accordance with industry standards.
- Virtual and electronic storage will be permanently deleted using administrative-level file removal protocols to ensure the data cannot be reconstructed or recovered.
